Executive Session
For those with the board role only.
What an executive session is
It is the board meeting without staff. A board closes the door for part of its meeting to talk through what cannot be talked through with everybody there: a review of the chief executive’s work, what staff are paid, a concern about somebody’s conduct, a conversation with the auditor. Sometimes the chief executive is asked to stay for part of it, and sometimes an adviser is asked in for one item.
BoardSource’s guide to executive sessions, which this room is built on, recommends:
- Holding one at the end of every regular board meeting, so that having one never has to mean something is wrong.
- A written policy for when the board goes into session and who stays.
- A confidential record of who was there, what was decided and how the vote went.
- Telling the chief executive what was concluded, if they were not in the room.
- Ending the session once its business is done, and not holding closed sessions for what belongs in the open meeting.

Talking
The channel and the call in here are for moderators with the board role and nobody else, not even an administrator: moderators sign on at the Community Center with the moderators’ password, under a handle on the moderators’ list. Anybody can come in and look around, and the radio waits outside the door for everybody else.
This browser is not signed on as a moderator this room is for, so the call in here is not yours to join. Moderators sign on at the front desk.
The call is run by 8x8’s Jitsi as a Service, and the server hands a pass into it to the moderators this room is for and nobody else. Camera and microphone start off, and we keep nothing about a call. What goes where.
Why an exit sign
Because an executive session is what happens once everybody who is not on the board has gone out through that door. The sign over it is the only light left on, and it stays lit because the door is never locked: anybody can walk in and read this wall. What is said in here is the board’s. Nothing in the room moves, at any setting, and the sign does not flicker.
